The factory Administrative Assistant position is created to bring an administrative support to Leadership Team and Associates on different topics, to manage the internal communication and to animate social life in the factory.
What are we looking for?
Bachelor degree in management, communication, administration
Fluent in English
At least 3 years of experience in a similar position
What will be your key responsibilities?
Administration’s management :
- Is the key user of Horoquartz tool. Supports, trains users and manages the relationships with Horoquartz’s software editor to follow tool’s evolution. (insure sick-leave followup with payroll)
- Factory Work Clothes: is the key contact for Associates and for the external providers to ensure the good execution of the contract and potential issues.
- Temporary Work: create and track orders, follow invoicing
- Individual Protection Equipment: create and track orders, follow invoicing, stock management
- External providers Management (confidential documents, coffee)
- Factory Visits’ Organization: prepare equipments, welcomes visitors. Also coordinate with the HQ and other HQ entities (French unit…..) on their visits plans to ensure there is no conflict. Update the factory
main event calendar on regular basis and send invite into outlook for the management team
- Prepare presentation for VIP visits and other factory events.
- Is the key contact for the central HSE team to organize medical visits for all Associates.
- Is in charge of doing the link between Factory (LT, Line managers, Associates) and payroll and accounting teams
- Updates all generic documents on factory: phones numbers list, picture, mailing list…
- Establishes the annual “on duty call” planning
- Distributes meal vouchers
- Communication des dates clés de vie de l’entreprise (distribution produit, médaille du travail..)
Communication :
- Is in charge of Factory internal communication creates communication supports and chooses the best way to broadcast them (email, flyers, TV…)
- Coordinates the communication with others RC entities (Headquarter, French subsidiary and Cambrai factory)
- Is the contact point of external communication providers if needed (OGCM deployment, Supply FAB Supply…)
- Regularly updates the different displays
Factory Social Life :
- Organizes different events (Engagement Day, HPC Seminar, Ste Catherine…)
- Follow all Associates individual family events (weddings, births, relatives’ funerals…)
- Organise les différentes visites usine et les plans d’intégration en lien avec les différents services
